We collect personal information when you use our website, make a booking or request information about our services. The data we collect may include:
- Contact information: first and last name, email address, phone number, postal address.
- Booking details: information about the service requested (dates, times, pickup location, destination, vehicle type, special notes, flight or train number).
- Payment information: details of your credit card or any other payment method used to book our services. Banking information is processed securely by our payment providers; we never store your card number on our servers.
- Browsing data: cookies, anonymised IP address, browser type, information about your use of our website (pages visited, visit duration), collected via Google Analytics 4 after consent (Consent Mode v2).
3. Purposes of processing
Your data is processed for the following purposes:
- Booking management: confirming, processing and managing your vehicle and concierge bookings
- Communication: replying to your quote requests, providing information about our services or contacting you in case of modification or cancellation
- Service delivery: delivering the transport service you booked, passing to the chauffeur only the information strictly required
- Service improvement: improving the quality of our site, our services and your experience through anonymised analytics
- Marketing and communications: if you have consented to receive our communications, we may send you emails about our offers and news. You can withdraw your consent at any time
- Legal and fiscal obligations: meeting our accounting, invoicing and VAT obligations
3a. Security and storage of your data
We take the security of your data very seriously and have put in place technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, disclosure or modification: certified hosting (Vercel Inc.), TLS encryption for every transmission, access restricted to authorised personnel only, strict separation of banking data (never stored on our servers — only with our PCI-DSS payment providers).
While we strive to protect your personal information, no method of electronic transmission or storage is completely secure; we therefore cannot guarantee absolute security, but we commit to notifying the Data Protection Authority and, where applicable, the persons concerned, within the statutory deadlines in the event of an incident.
4. Legal basis
The processing of your data is based on:
- Your consent for analytics and marketing cookies (Consent Mode v2)
- The performance of a contract for processing your quote requests and delivering the service
- Legitimate interest for improving our services
- Legal obligation for retaining billing data
5. Retention period
Your personal data is kept for the following periods:
- Quote requests: 12 months from the date of the request
- Client data: 5 years after the last service (accounting obligation)
- Analytics cookies: 13 months maximum
6. Data sharing
Your personal data is never sold. It may be shared with:
- Google Analytics / Google Ads: anonymised browsing data (after consent)
- Vercel: website host (technical subprocessor)
- Our chauffeurs: only the information required for delivery (name, pickup location, time)

9. Chauffeur confidentiality and discretion
At Belgium Elite Way, we place great importance on the confidentiality and discretion of our chauffeurs, to guarantee a pleasant and secure experience for our VIP, embassy and institutional clients.
- Discretion commitment: our chauffeurs are trained to maintain strict confidentiality throughout the service. They commit not to disclose any personal, private or professional information regarding journeys, passengers, or any other data shared during transport.
- Respect for privacy:chauffeurs are not permitted to listen to or interfere in passengers' conversations, except where required for the safety of the trip or upon explicit request from the client. Any discussion or information exchanged during transport is kept confidential.
- Non-disclosure: our chauffeurs do not share personal information about clients (itineraries, preferences, sensitive data) with third parties without prior consent, except as required by law.
This discretion policy applies to all our chauffeurs, without exception, with the aim of ensuring a private, pleasant transport experience that respects every client's preferences and confidentiality.
10. Changes to this policy
We reserve the right to modify this privacy policy at any time to reflect legal, technical or operational changes. In the event of a substantial change, we will inform you via our website or, if you are a client, by email. The last-updated date at the top of this page will be updated accordingly.
